This personal data information relates to the processing of your personal data that Linköping University (LiU) obtains for the purposes of informing interested students as well as applicants and newly admitted students. Linköping University (registration number 202100-3096) is the controller of your personal data.
1. Why does LiU handle and process your personal data?
We need to handle your personal data in order to:
a) send you information about eligibility requirements, documentation, tuition fees, etc. to ensure that you have submitted a complete application. You will also be encouraged to register for accommodation and to make sure you know the regulations for residence permits (if applicable) and roll calls
b) let you know about all things relevant for newly admitted students, such as invitations to webinars, heads up about phone calls, continuous reminders about housing, residence permits, etc.
The legal basis for the processing of your personal data is that it is necessary to perform a task carried out in the public interest, article 6.1.e of the GDPR Act.
2. How we collect your data
a) If you contacted us by using a web form on liu.se: we collect your personal data from you in order to inform you about your programme(s) of interest.
In addition, you will be added to a mailing list about education at Linköping University. The option to unsubscribe from these emails is present in every email that we send to you.
b) If you visited us at a study abroad event: we collect your personal data from you in order to inform you about your programme(s) of intererest. In addition, you will be added to a mailing list about education at Linköping University. The option to unsubscribe from these emails is present in every email that we send to you.
c) If you filled out your contact details at a study abroad website that shares a web form on our behalf: we collect your personal data from you in order to inform you about your programme(s) of interest.

d) If you have applied for a programme or course at Linköping University via University Admissions in Sweden. We collect your personal data from the application portal in order to send you information about eligibility requirements, documentation and tuition. You will also be encouraged to register for accommodation and to make sure you know the regulations for residence permits (if applicable) and roll calls
e) If you contacted us by email we collect personal data that you provide us with.
In some cases we will collect data about enrolment (not credits) from the student records system Ladok to close the cycle of student recruitment.
3. Which (categories of) personal data are processed?
We save information such as name, email, programme you have applied to (including which priority ranking you’ve given the programme), fee-paying status, faculty, admission round and admission status. This enables us to tailor the information we send to your different needs.
4. Who has access to the personal data you have given to University Admissions?
The emails we send to applicants and admitted students through our CRM system are sent out by staff at the Student Recruitment and Alumni office. They therefore have access to your personal data. The administrators and system owners of the CRM system also have access to your personal data, including staff from our subcontractors.
5. Where is my personal data stored?
Your data is stored within the EU/EEA. Should your personal data for any reason be transferred to a country outside the EU/EEA, you will be informed.
6. What are your rights as a data subject?
You have the right to obtain information about your personal data that Linköping University processes. You may request this in writing by contacting the registrar’s office at Linköping University, either by email or letter. If you believe that information about you is erroneous or misleading, you may request that this information is rectified. You also have the right to information about the legal basis on which we justify our processing of your data, how long we plan to store the data, and who has access to the data. You may request the deletion of your data if there is no legal basis that requires that we retain the data. You also have the right to request that the use of sections of your personal data is limited. You have the right to withdraw consent that you have given, and the right to challenge a decision at the relevant regulatory authority.
